Tenant portal

A tenant portal that cuts calls, not corners.

Rent, deposit, documents and repairs, in your agency's colours, on the tenant's phone. The figures they see are the figures your ledger holds, so the questions answer themselves.

Section 01 · Rent

Rent that matches the ledger

The schedule and payment history a tenant sees are read from the same tables your team works in, not exported into a copy that drifts. When the tenant's screen and your ledger are the same thing, "are you sure I owe that?" stops being a conversation.

Full schedule and payment history, with the next amount due and an honest overdue total.

Section 02 · Repairs

Repairs reported properly, first time

+ add visit to calendar (.ics)

Category, access notes, up to five photos, then a two-way thread and a calendar invite for the visit.

A tenant reports the leak at 2am with photos from their phone. It does not land in an inbox: it lands as a real maintenance job in your CRM, with tasks and notifications already attached, and the tenant follows its status timeline instead of ringing for updates.

  • · Up to five photos per report, straight from the phone
  • · Two-way comment thread on every job, tenant and agency
  • · One-tap calendar invite when a visit is booked
  • · Triage stays with you: tenants describe, your team prioritises
Section 03 · Viewings & visits

Viewings the tenant can answer, not just receive

Inspections and viewings appear in one chronological feed. For the tenant's own viewings, the portal is actionable: confirm, decline or reschedule with a reason, and your diary updates itself. No other tenant surface on the market does this.

When you re-market their home, the sitting tenant sees when a viewing happens, never who is coming. Prospective tenants' identities stay server-side, always.

Scheme, protected date and certificate number, plus every document that belongs to their home.

Where is my deposit protected, since when, and under what certificate number? It is all on one screen, next to the EPC, gas safety and electrical certificates for their home and the documents attached to their tenancy, each downloadable without asking anyone.

Section 05 · Applications

Applicants stop calling for status too

Before they are tenants, applicants track their own journey: application received, referencing progress for every co-applicant, holding deposit status, approval, keys. The anxious week between "we applied" and "you're in" stops generating phone calls.

Section 06 · Drawn for trust

Built to serve the tenancy, not to sell to it

01

Never sales targets

No upsell calls, no insurance cross-sell, no adverts. The portal exists to run the tenancy. Your tenants are your tenants, not our leads.

02

Invited by you

No self-signup. You invite the tenant; they activate from a personalised link and set a password. Access ends when you say it ends.

03

Scoped to their tenancy

Every request is re-checked server-side. Contractors' personal details and other tenants' data are never in the payload; anything not theirs is a 404, not a locked door to rattle.

Section 07 · No app to install

Nothing to download, nothing to go stale

The tenant portal is a fast web experience that works on any device with a browser, in your agency's branding. Tenants open the link from their invitation email and they are in, tonight, on whatever phone they own.

Questions

Asked before every trial

What is a tenant portal?

A secure website where your tenants sign in to see their own tenancy: rent schedule and payment history, deposit protection, documents and certificates, repairs and viewings, all read live from your CRM and branded as your agency.

What can tenants actually do in it?

See their rent schedule and full payment history, check deposit protection details, download documents and certificates, report repairs with up to five photos, follow the job timeline and reply in a comment thread, add booked visits to their calendar, confirm, decline or reschedule their viewings, track their application, and choose which emails they receive across six categories.

Is it free for tenants?

Yes. Tenants never pay anything, and they are never shown adverts, insurance offers or upsell calls. The portal is included in your LintelCRM plan.

Is tenant data secure?

Access is invite-only, sessions use isolated scoped tokens that are rejected on all agency endpoints, and every request is checked server-side against what belongs to that tenant. Records that are not theirs return a 404, and sensitive details such as contractors personal contacts never reach the portal at all.

What happens to tenant data at move-out?

Portal access is tied to the tenancy, so it ends with it. Under GDPR your agency can export a tenant data record or fulfil a right-to-erasure request from the CRM data tools whenever the tenant asks.
